Switching from another platform

I use other studio software. How do I move over?

Choose where your students are now in the Bring your studio over step, and upload the files it asks for. Teachers, students, families, lesson types, prices and lesson history come across, and you check everything before it's saved. Any spreadsheet works too: the columns are matched for you.

Can I run both while I switch?

Yes. Nothing about Clefsy touches your old account. Set up here, check everything looks right, then move your students across on your own schedule.

Do I lose anything if I try it and go back?

No. Your data exports from Settings in one click, as spreadsheets you can open anywhere.

Music schools and academies

Can a music school or academy use Clefsy?

Yes. Ensemble is built for a school with a team: a login for every teacher with roles and permissions, teacher payroll, group classes, semi-private lessons and recitals, family billing with autopay, overdue reminders and late-cancellation fees, and a CRM that turns inquiries into enrolled students. Teach at more than one location, with rooms that are never double-booked, and see the whole school from one account. Clefsy for music schools →

How much does it cost for a school with many teachers?

Ensemble is $10 a month for the first teacher plus $5 for each additional teacher, and it never goes above $49 a month. A school with 20 teachers pays $49 a month. You never pay per student, and we take no cut of lesson payments. See the cost for your school →

Billing

Can I use Clefsy outside the US?

Yes. Studios anywhere can sign up and run their studio on the free Solo plan, with prices and card payments in their own currency, and any time zone. Paid plans and the free trial are for studios in the US and Canada, except Quebec, for now. Text messages reach US and Canadian numbers; everyone else gets email and app notifications.

When am I charged?

Only if you choose Encore or Ensemble, and not before your 30-day trial ends. The trial is for studios in the US and Canada; studios elsewhere start on the Solo plan. Solo studios are always free, with no credit card needed.

What counts as a teacher?

Every active teacher on your roster, including one on break. Deactivate a teacher and they stop counting. Staff who don't teach are free. Encore is $10 a month for one teacher. Ensemble is $15 for two, plus $5 for each extra, and the total never goes above $49.

If a teacher takes the summer off, do I still pay for them?

Not if you deactivate them for the season. A deactivated teacher stops counting toward your bill, keeps their students, lessons and pay history, and can be reactivated the day they're back. On break is for a short pause: the teacher keeps their login and booked lessons, so they still count toward your plan.

What if I remove a teacher mid-month?

You keep paying for them until the end of that billing period. There's no partial refund for the rest of the month.

Can I cancel?

Any time, with no notice period.

Do I get anything for referring another studio?

Yes, and both sides earn. A studio that signs up through your link gets an extra month of trial. When it has taught 5 lessons, you each get a $20 credit toward your bill. Credits stack and roll over; on Solo they wait until you upgrade. Banked credit stops at $200.

Can I get a refund?

Yes, on your first payment. If Clefsy isn't right for you, ask from Support → Contact our team in the app within 30 days of your first payment and we'll refund it in full. After that, canceling stops future charges; it doesn't refund the current month.

Payments

Where does the money go?

Straight into your own Stripe account. We never hold your money.

Do you take a cut of my lessons?

No. We charge for the plan and nothing else.

Can my students pay the card fee instead of me?

Yes. You choose whether to pass the processing fee to your students or absorb it.

Is there autopay?

Yes. Students and parents save a card and turn on autopay, and each invoice is charged on its due date. Payment links, invoices that send themselves and payment reminders are built in too.

Can billing run on its own, with overdue reminders and late fees?

Yes. Invoices send themselves, autopay charges a saved card on each due date, and unpaid invoices get reminders the day before, on the due date, then 3 and 7 days late, stopping the moment they're paid. Late fees are for late cancellations: set the notice window and the charge (the full price, a flat fee, a percentage or one package lesson), and a cancellation inside the window offers it in one tap, or a waiver. There is no extra fee for paying late. Payments & invoices →

Can I track expenses and mileage?

Yes. Log expenses with a tax-deductible flag or scan the receipt, keep a mileage log at your own per-mile rate, and see profit and loss after teacher pay. Export it all at tax time. Expenses, mileage & tax reports →

Your studio website and CRM

Do I get a studio website?

Yes. Every studio gets its own page at clefsy.com/book/your-studio with your bio, lessons, prices, teachers, reviews and online booking, in a look you choose. Already have a site? Add booking to it with one snippet.

Is there a CRM for new students?

Yes. Every inquiry lands on a lead pipeline, from new lead to first lesson booked, with follow-up reminders and automated follow-up emails you can edit step by step.

Reminders and messages

How do reminders reach my students?

By email on every plan, including Solo. Text reminders come with Encore and Ensemble. Students using the app also get notifications. Text messages reach US and Canadian numbers; everyone else gets email and app notifications.

Is there a limit on texts?

Encore includes 250 texts a month. On Ensemble, every teacher (up to 9) adds 250 to one shared allowance for the whole studio, so a busy teacher can use more than a quiet one. If you reach the limit, reminders keep going out by email and in the app.

Scheduling

Does it work with Google Calendar?

Yes. Connect Google Calendar and your lessons are written to it and kept up to date. You can also import existing lessons from it, or subscribe to your schedule from Apple or any calendar app.

Can I set a cancellation policy?

Yes. Set how late is too late and what a late cancellation costs (a flat fee, a percentage, the full lesson, or one lesson from a package). A cancellation inside the window offers that charge in one tap, or a waiver.

Is it only for voice teachers?

No. Clefsy is built for music teachers and voice teachers: piano, guitar, strings, band, drums and voice. Students book by instrument, and only the teachers who teach it appear.

Do online lessons work?

Yes. Connect Zoom, or Google Calendar for Google Meet, and a link is created for each online lesson automatically.

Events

Can I run a recital?

Yes. Set up a recital, workshop or group class with tickets, capacity and registration. The Solo plan runs one event at a time; Encore and Ensemble run as many at once as you like.

Students and parents

Can a parent manage their child's lessons?

Yes. A parent can book, pay and get reminders for their child, while the lesson history stays with the student.

Does a child need their own email address?

No. Younger students don't need their own contact details.

Teachers

Can a teacher see my studio's finances?

Only if you allow it. Access is set per person, so a teacher can run their own week without seeing studio-wide revenue or anyone else's pay.

Does it do teacher payroll?

Yes. Set each teacher's pay as a flat rate per lesson, an hourly rate, or a percentage split. Each month's payroll is worked out from the lessons taught, and you mark it paid and export it for your bookkeeper. Teacher payroll →

Your data

Can I get all my data out?

Yes. Students, lessons, packages and payments, from Settings in one click. No support ticket needed.

What happens if I delete my studio?

A studio with students or lessons in it is kept for 30 days first, so you can change your mind. One button in the email or on your dashboard stops it. After that it's gone for good. An empty studio is removed right away. Export your data first if you want a copy.
